About the Role

TFAS is looking for an Executive Assistant to provide high-level administrative support to the President and the Executive Vice President, ensuring that the organization’s leaders can accomplish key tasks efficiently. Responsibilities will include correspondence, scheduling meetings, handling travel arrangements, general administrative functions, and other duties as assigned. The Executive Assistant will communicate with various audiences, including donors, faculty, volunteers, and staff. This is a great opportunity to work closely with high-level executives and contribute to the overall efficiency of our organization.

Responsibilities

  • Support the President in the areas of correspondence of all types, including emails, letters and calls
  • Handle travel arrangements, including scheduling meetings, flights, rental cars, and accommodations
  • Assist with the preparation of expense reports
  • Prepare donor communications of various kinds, including letters, proposals and emails, working closely with members of the Development Office
  • Organize meetings, including scheduling, sending reminders, and organizing caterers when necessary
  • Attend meetings when required with donors, staff and others
  • Maintenance of electronic files using the Salesforce database

Qualifications

  • Strong organizational skills to keep President and EVP on schedule and prioritize tasks in an efficient manner
  • Superior oral and verbal skills, including written communications and telephone calls
  • Ability to handle confidential matters with integrity
  • Time management and the ability to meet deadlines
  • Ability to multitask

  • Ability to make sound decisions and solve problems
